All,
Hope this email finds you safe and in good health! We appreciate your resilience in these challenging times!
As Connie’s communication advised, our move from Mission Hall 7th floor to the new Wayne and Gladys Valley Center for Vision (WGV-CV) building is happening late July/early August.
CONCERNS RAISED
Please know that the safety and health of our community is of the utmost importance and we understand concerns about coming back to Mission Hall have been raised. In response, please note the following:
ENHANCED CLEANING – CUSTODIAL SERVICES
The UCSF Facilities Services Custodial Department will be adhering to guidelines from the U.S. Centers for Disease Control and Prevention (CDC), by increased cleaning frequencies and disinfecting high-touch surfaces in all high-use common areas, public spaces, break rooms, and de-trashing areas throughout the east and west campuses.
High-Touch Areas:
High-touch surfaces are those that have frequent contact with hands. High-touch surfaces in high-use areas require more frequent cleaning and disinfection than minimal contact surfaces. Cleaning and disinfection is usually done at least three times daily and more frequently if the risk of environmental contamination is higher (e.g. all public areas).
Cleaning Schedule(s) & Frequencies:
Cleaning services and disinfecting high-touch surfaces are performed Monday through Friday three times during the day and once at night at the Mission Bay and Parnassus Campuses between 7am and 11:30pm. Recycling, garbage and compost pick up will be scheduled once a day. Soap and hand sanitizer dispensers will be replenished as needed.
SANITATION SUPPLIES
We have sanitation supplies available on hand to include disinfectant wipes, surface disinfectant in a spray bottle as well as hand sanitizer at various places on the floor.
FACE COVERING REQUIREMENT
The face covering requirement is strictly enforced; cloth face covering or surgical mask is required while indoors (unless alone in a private office, or eating in break areas apart from others).
PHYSICAL DISTANCING – TARGET DENSITY
Maintaining physical distancing with a minimum 6 feet between individuals whenever possible is strictly enforced. Each group/team is scheduled 2 – 4 days for their group to come to Mission Hall 7th floor to pack (calendar attached). Your team representative will coordinate your group’s schedule within those assigned days and rotating shifts (morning and afternoon) so that physical distancing can be maintained. If an individual is unable to come in on the shift/day assigned, they could come on a day where a group on the opposite side of the floor is assigned but would need to notify Brenda Kittredge. Weekends could also be available for packing but again, Brenda Kittredge would need to be notified. Each individual is responsible for packing their own area; however, accommodations could be made if you have volunteer(s) willing to help pack individuals on your team. Please contact your team representative.
GENERAL INFO
As the new occupants of a portion of the 9th floor and the whole 10th floor, below please find general information related to the move:
A hard copy General Move Guide has been placed in each ABW and office. Please be sure to read the entire document (also attached) as it provides the general concept of the move process, the responsibilities of the move team, and the responsibilities of the new WGV-CV occupants (us).
- 2 boxes have been placed at every ABW and every office on the 7th floor at Mission Hall.
- Labels will be provided and are color coded for the appropriate WGV-CV floor: Green = 10th floor, Yellow = 9th Floor. Your group/team representative will have your seat assignment information by Thursday, 7/2/2020 and I have included a floor plan for both floors for your reference.

FILE ROOM PACKING
Because of the close quarters in the file room, only 2 individuals can be in that space at a time. Your team representative will coordinate the packing of your group’s items in that area to ensure physical distancing.
1-DAY OFF-SITE STORAGE
As was previously planned, we are offering 1-day for items to be picked up from Mission Hall 7th Floor and sent to off-site storage. The tentative date is Friday, 7/17/2020 (date to be confirmed shortly). Please consider sending the bulk of your items off-site, especially in light of the following:
o We have less/different storage space available at WGV-CV.
o We have been working remotely for the last 3 ½ months so your MH desk and the MH file room have already somewhat served as offsite storage.
o In-person events and meetings for the most part have been canceled or postponed for the coming year; therefore, any event-related items in the file room or at your desk will not be needed and can easily be pulled from offsite storage when needed.
NEIGHBORHOOD ZOOM MEETINGS
Our internal team is meeting with the move team on Thursday, 7/9/2020 for additional information and logistical details. If you have questions, please submit them via Qualtrics prior to 7/9. We will have 4 neighborhood Zoom meetings between 7/10 – 7/17. While each meeting will be geared to a specific neighborhood, they are open to all to attend. Outlook invites will be sent shortly.
UNNEEDED ITEMS THAT OTHERS MAY FIND USEFUL
Items you no longer need that others may find useful can be put in conference room 7200 after Wednesday, 7/8/2020. Please look there for items you can use and take them. Any items left in conference room 7200 after 7/24/2020 will be donated, recycled, or disposed. Please do not take extra move boxes without checking with Cherri Wright-Taylor or Brenda Kittredge.
We understand the short notice you’ve been given and thank you for your patience and understanding during this transition. Please do not hesitate to direct your questions to me or your team representative.
Take care,
Brenda
